Step-by-Step Guide to Building A Home Maintenance Checklist

seasonal Step-by-Step Guide to building a home maintenance checklist

If you read the Krafty Planner, you probably already have a checklist for everything. Appointments, meal plans, reading goals and birthdays all have a home, maybe with a few stickers for good measure.

The house itself is the one thing that rarely gets a spread. Furnace filters, gutter cleaning and smoke detector batteries tend to live in the back of your mind until something squeaks, leaks or crawls across the kitchen floor.

This guide walks you through building a home maintenance calendar that repeats every year, sorted by season, so those chores land on paper instead of in your worry pile.

The quickest way to see how this works is to schedule one recurring job properly, start to finish.

Pest prevention makes a good test case. Book recurring perimeter treatments for early spring and early fall, then write a reminder in your planner two weeks before each visit so you have time to trim shrubs away from the siding, move firewood off the foundation and clear clutter from the garage.

In warm parts of Central Texas, where ants and roaches stay busy for much of the year, New Braunfels homeowners can find providers that offer recurring service plans, such as EcoForce Pest Management, and enter those visit dates once for the whole year.

Every task in the calendar follows that same rhythm: pick the timing, add a lead-time reminder and let the page do the remembering for you.

Take Stock Before You Pick Up a Pen

Grab a notebook and walk your home slowly, room by room, then outside. Jot down every system and surface that needs attention at some point: the HVAC unit, water heater, roof, gutters, windows, dryer vent, deck, lawn equipment and appliances.

Don't sort anything yet. You're just collecting, the way you'd brain-dump before a busy week.

Next to each item, note the last time it was serviced, if you know it. Blanks are useful information too, because they show you where the calendar will do the most good. Check appliance manuals or model numbers for recommended intervals while you're at it. A dishwasher filter and a water heater flush run on very different clocks, and guessing is how jobs slip for years.

This step matters more than it might seem. According to Real Estate, nearly half of homeowners worry they will face a major home repair within the next year, and six in ten rank surprise repairs to essential systems like HVAC and roofing among their top money worries in the 2025 survey. A written inventory won't stop every surprise, but it turns vague dread into a list you can actually work through.

Sort Every Chore Into Its Season

Now take your messy list and give each item a season.

Spring is for recovery after winter: inspect the roof, clean gutters, service the air conditioner, wash windows and check screens for tears.

Summer handles the outdoor work, like sealing the deck, checking irrigation, cleaning the grill and watching for wasp nests under eaves.

Fall is your prep season. Have the furnace serviced, clean gutters a second time once the leaves drop, seal gaps around doors and windows, and drain outdoor hoses.

Winter is quieter, which makes it perfect for indoor jobs such as testing smoke and carbon monoxide detectors, vacuuming refrigerator coils and deep-cleaning the dryer vent.

Some tasks don't belong to a single season. Furnace filters, for example, may need changing every one to three months depending on the filter and your household. Put those on a separate "repeating" strip so they don't crowd your seasonal pages. If a job feels too big for one weekend, split it across two months rather than letting it sit undone.

Slot Pest Prevention and Pro Visits Next to Daily Life

Professional appointments are where most home calendars fall apart. You mean to call the HVAC tech in March, then it's June and every company is booked solid. The fix is to schedule these visits during your annual planning session, the same day you set up a new planner, and treat them like dentist appointments.

Group visits by season so prep work overlaps. Your spring pest treatment and AC tune-up both ask you to clear space around the outside of the house, so put them in the same two-week window and do the yard cleanup once.

Fall works the same way, pairing the furnace check with the second pest visit and a gutter cleaning. Add a reminder two weeks ahead of each one, plus a short prep list right on that reminder line.

Leave a little room for the unexpected, too. Block one open weekend each season labeled "catch-up" for anything that got pushed. That buffer keeps a single rainy Saturday from derailing the whole quarter, and it gives you a guilt-free place to land tasks you noticed mid-season.

Turn the Plan Into a Checklist You'll Actually Use

Here's the fun part. Create one checklist per season, with tasks down the left and checkboxes for each month in that season.

Try to keep it to a single page; if it spills over, you're likely tracking chores that belong on a weekly cleaning list instead. A small "notes" box at the bottom is handy for recording dates, costs and the name of whoever did the work.

Decide where the pages will live. Some people tuck them into the back pocket of their main planner, while others keep a slim home binder by the fridge with manuals, warranty cards and receipts.

Color-coding helps a lot here, with one shade for DIY tasks and another for booked professionals, so a glance tells you whether to grab gloves or the phone.

Finally, set a review date. At the end of each season, flip through the checklist, carry forward anything unchecked and adjust timings that didn't fit your life.

After a year or two, the calendar becomes a record of your home's health, and the chores that once snuck up on you simply show up on schedule.
