How to Use a Calendex to Plan Your Year
If you've never used a Calendex before, it might look a little different from the traditional monthly calendars you’re probably used to.
But once you get the hang of it, it's a really handy way to keep track of dates throughout the year without needing to flip through twelve separate calendar pages.
I made a free 2027 Calendex printable in both color and black and white, so you can try it for yourself and see if it works for the way you plan.
What Is a Calendex?
A Calendex is a combination of a calendar and an index.
Instead of giving each month its own full calendar page, a Calendex gives you a compact view of the entire year. You can write important dates directly next to the corresponding day and then use it as a quick reference throughout the year.
My 2027 Calendex has three months per page, so the entire year fits on just four pages.
Each date includes the day of the week and space to write, with Saturday and Sunday highlighted to make the weekends easy to spot.
Why Use a Calendex?
One of my favorite things about a Calendex is that it gives you a really quick view of what's coming up.
You don't have to turn to January to see what's happening in January, then flip to February to check February, and so on.
Instead, you can look at your Calendex and quickly find things like:
Birthdays
Appointments
Vacations
School dates
Work deadlines
Holidays and events
Bill due dates
Family activities
Important reminders
It's especially useful for things you want to see coming throughout the year.
How to Use Your Calendex
There really isn't a complicated system you have to follow. That's part of what I like about it!
1. Start with the dates you already know
Before you start filling every little thing in, add the dates that are already on your calendar.
Think about birthdays, anniversaries, vacations, appointments, holidays, school events, or anything else you know is happening in 2027.
You don't have to fill in everything at once. Just start with the dates that are important to you.
2. Use it for future planning
One of the best uses for a Calendex is recording things that are months away.
Maybe you know your family's annual vacation is in July. Or you already have a doctor's appointment scheduled for October.
Put it on the Calendex now.
That way, when you're planning later in the year, you don't have to remember that date or go searching for it somewhere else.
3. Keep it simple
You don't need to turn your Calendex into a work of art.
You can simply write:
June 14 – Mom's birthday
or
Aug. 3–10 – Vacation
or even just:
Dentist – 10 AM
The goal is to create a quick reference, not another complicated planning system you have to maintain.
4. Use your Calendex with your regular planner
A Calendex doesn't have to replace your regular monthly or weekly planning pages.
I actually think it works really well alongside them.
Use the Calendex for your yearly overview and important dates, then move those dates into your monthly or weekly pages when you get closer to them.
For example, if you have a vacation in September, you can put it on your Calendex now. When September gets closer, you can add the details to your monthly and weekly planning pages.
This gives you both the big picture and the details without trying to cram everything into one place.
A Few Other Ways to Use It
Your Calendex doesn't have to be limited to appointments and events.
You could use the space for things like:
Meal planning: Mark special meals, birthdays, or events that affect your meal plans.
Content planning: If you create content, use it to mark blog posts, launches, or important publishing dates.
Home planning: Keep track of seasonal tasks, maintenance, or projects you want to tackle throughout the year.
Reading: Mark books you want to read or reading challenges you're participating in.
Habits and goals: Use simple symbols or short notes to mark important milestones or goal-related dates.
The key is to use it for the information you want to see at a glance.
